Refund Policy
1. General Policy
All registration fees paid to BAMUN’26 are strictly non‑refundable. By completing registration, delegates and delegations acknowledge and accept that refunds will not be issued under normal circumstances, including but not limited to changes in personal schedule, academic commitments, travel issues, dissatisfaction with committee allocations, or withdrawal from the event for any reason.
This policy applies to all categories of participants, including individual delegates, delegations, observers, and faculty advisors.
2. Exceptional Circumstances
Refunds may only be considered in serious and verifiable circumstances, such as:
· Medical emergencies requiring hospitalization
· Bereavement of an immediate family member
· Any other situation deemed extraordinary by the Executive Council
Requests based on minor illnesses, exams, transportation issues, or personal inconvenience will not be considered.
3. Decision‑Making Authority
All refund decisions are made solely and exclusively by the Executive Council of BAMUN’26.
The Council reserves the right to:
· Approve or deny any refund request
· Request supporting documentation
· Determine whether a circumstance qualifies as “serious.”
· Decide the percentage of the fee (if any) to be refunded.
The Council’s decision is final, binding, and not subject to appeal.
4. Documentation Requirements
Delegates requesting consideration for a refund must submit:
· A formal written request
· Valid supporting documents (e.g., medical certificates, hospital records, death certificates)
· Proof of registration and payment
Incomplete submissions will not be reviewed.
The Executive Council may verify documents with issuing authorities. Any falsified or altered documents will result in permanent disqualification from the conference and future editions.
5. Non‑Refundable Situations
Refunds will not be granted under any of the following circumstances:
· Change of mind after registration
· Withdrawal due to academic workload or exams
· Travel issues
· Committee or portfolio dissatisfaction
· Failure to attend the conference (no‑show)
· Late arrival or early departure
· Failure to read or comply with conference rules
6. Event Postponement or Cancellation
If the conference is postponed or canceled due to circumstances beyond the organizers’ control (e.g., natural disasters, institutional restrictions), the Executive Council has the authority to transfer registrations to the rescheduled event.
The Council is not obligated to issue refunds in such cases.
7. Processing Time
If a refund is approved under exceptional circumstances, processing may take up to 10 business days.
Refunds will be issued only through the original payment method.
8. Acceptance of Policy
By registering for BAMUN’26, all participants agree to:
· Abide by this refund policy in full
· Accept the Executive Council’s authority and final decisions
· Waive any right to dispute or challenge refund outcomes
